How Perth Home Brokers Runs Twelve Month Deals Through One Custom Platform.
Perth Home Brokers guides home buyers from first enquiry to key handover, a journey that can run twelve months and touch reps, admin, builders and lenders. That journey used to live across spreadsheets, Google Drive, a CRM, email, messages and paper. Monday Media built them one custom platform that runs every deal end to end. Packages that took days of back and forth are now built and presented in minutes, and around twenty hours of admin comes back each week.

[ why they came to us ]
An Twelve Month Journey Run on Spreadsheets and Memory.
Perth Home Brokers had built a strong business guiding buyers through one of the most complicated purchases there is. Every deal runs for months and passes between reps, admin, builders, lenders and settlement agents. The work was good. The systems underneath it hadn't kept up.
In practice, a deal lived everywhere at once. Client details sat in spreadsheets and Go High Level. Documents arrived by email, WhatsApp and text, or on paper. Files went into Google Drive and had to be found again. Progress lived in phone calls and in people's heads.
The cost showed up everywhere. Around twenty hours a week went on admin across the business. Requests bottlenecked between reps and admin. Nobody in management could see the state of the pipeline, and there was no way to predict revenue from the deals moving through it.
The same client details retyped across spreadsheets, Go High Level and email for every deal.
No financial oversight and no way to predict revenue month to month.
Managers couldn't see where any deal sat without ringing the rep who owned it.
Documents arrived by email, WhatsApp, text and paper, then had to be found again later.
Building a house and land package for a client took days of back and forth.
Rep-to-admin approvals ran on phone calls and memory, so requests bottlenecked.
[ what we built ]
One Platform Built Around an Eighteen Month Journey.
The build started with the journey itself: every stage a deal passes through, from first client details through finance, selections, sketch and quote, drafting, deposit and lodgement, all the way to keys. The handoffs between reps, admin and builders shaped the design, not a template.
The finished system is one platform that runs every deal end to end, replacing at least four separate apps and the email, message and paper trails between them.
01 / Package builder
A complete package built and priced in minutes.
Reps sit with a client, choose a home design, elevation and extras, enter the land details, and the system prices the whole package live, including deposit, grants, stamp duty and lending costs. What used to take days of back and forth now happens in one meeting.
Solves: Building a house and land package for a client took days of back and forth.
02 / Deal timeline
Every deal's next step visible at a glance.
Each deal moves through a mapped eighteen month journey, from first details through finance, drafting, deposit and lodgement to key handover. Anyone with the right access opens a deal and sees exactly where it sits and what happens next, without ringing the rep.
Solves: Managers couldn't see where any deal sat without ringing the rep who owned it.
03 / Document hub
Every document in one place, checked on upload.
IDs, payslips, approvals and signed paperwork all live against the client and the deal. When identity documents come in, the system reads them and flags anything that doesn't match the client's details, so problems surface at upload rather than weeks later.
Solves: Documents arrived by email, WhatsApp, text and paper, then had to be found again later.
04 / Approval loops
Requests move from rep to admin without chasing.
Sketch and quote requests, credit checks, drafting and lodgement all run through structured approval steps. A rep submits, admin reviews, and every decision is recorded with who and when. Nothing depends on a phone call being remembered.
Solves: Rep-to-admin approvals ran on phone calls and memory, so requests bottlenecked.

Real screens from the platform we built, used every day by the people who run the business.
21hrs
Admin saved every week
Across the team, roughly three working days a week came back. That time went into client conversations and referral relationships, the work that actually grows a brokerage.
